Rental Agreements

Renters of the Event Hall agree to the following;

  1. No alcoholic beverages is allowed on the premises, except with explicit consent of Coburg Commons and proof of event liability insurance. If liability insurance is demonstrated, no hard alcohol (spirits, liquor, other distilled beverages) are allowed. Proof of liability insurance must be emailed to hello@coburgcommons.com no later than one week before the date.

  2. No smoking or vaping is allowed on the premises.

  3. User will not hinder any foot or vehicular traffic nor block any fire exits or lanes. Any parking expected to overflow beyond current parking spots shall be discussed with Brandon Rhodes at least 72 hours before event begins.

  4. User shall comply with all federal, state and local laws, codes, regulations & ordinances (including but not limited to noise or nuisance ordinances, occupancy limitations, civil rights statutes and County Health Department requirements on food serving or sales).

  5. User shall empty and re-bag all waste receptacles, properly disposing of all trash and other items brought to the premises. User shall take off site any waste exceeding the closed-lid capacity of the waste/recycling bins on the building’s southeast corner.

  6. User shall limit music and/or noise to a maximum noise level at Coburg Commons’ property line to be comparable to “average conversation at three feet” (~65db). After 9 pm noise must be reduced to a level low enough so as not to disturb neighbors. DJ’s, bands, or additional powered speakers are only permitted with prior approval.

  7. User shall take good care of the property, including: floors, doors, windows, chairs, pews, plants, restrooms, piano, electronics, book, art, and any other items on the property.

  8. As the last one to leave the building, User or their representative will make sure all exterior doors and windows are closed and locked.

  9. In the event of any default under this Agreement, the prevailing party shall pay the other party’s costs and reasonable attorney fees for collection incurred at any time before or after any action is filed or at trial, on appeal or any petition for review.

  10. To the fullest extent permitted by Oregon law, User shall indemnify, hold harmless, reimburse and defend Coburg Cooperative and its officers, directors, agents and employees and the successors in interest if the foregoing ("indemnities"), from, for and against liabilities, penalties, suits, claims, damages, losses and expenses, including but not limited to attorneys’ and expert witnesses' fees and related costs and disbursements, arising out of or in connection with or incidental to User's use of the Premises or error or omission of User or anyone acting on behalf of User in connection with or incidental to this Lease, whether or not such liability, penalty, suit, claim, damage, loss or expense is attributable to bodily injury, sickness, disease or death, or to injury to or destruction of tangible property ("claim") and regardless of whether or not such claim is caused in part by the indemnitee, but only to the extent caused by the negligent or other wrongful acts or omissions of User, anyone directly or indirectly employed by them or anyone for whose acts that may be liable, or by failure of such person or entity to perform as required by the Lease. Such obligation shall not be construed to negate, abridge, or reduce other rights or obligations of indemnity which would otherwise exist as to a party or person described in this Lease in this event of litigation between the parties to enforce these rights, the prevailing party shall be awarded its reasonable attorney's fees.

  11. Coburg Commons and User reserves the right to cancel this Agreement at any time.

Cleaning Expectations

  • Spot clean floors (sweep, vacuum, and/or mop) as needed (vacuum, mop, and broom available in vestry to the left of the stage). Please empty vacuum when finished.

  • Garbage and recycling may go in the blue and brown bins on the SE corner of the building. Any amount that exceeds those cans must be hauled away off site.

  • Return all chairs to the vestry to the south of the stage, stacked in tidy rows.

  • Return all tables to behind the curtain in the north foyer.

  • If last person in the building: close & lock ALL windows and doors, and turn off ALL lights.
